Meeting Information

When you create polls or respond to meetings, we collect:

  • Proposed time slots and participant responses

Calendar Integration

When you connect Google Calendar or Microsoft Outlook, we collect:

  • OAuth tokens to access your calendar
  • Calendar event information to check availability
  • Permission to create and modify events on your behalf

Note: We only access your calendar when you explicitly connect it, and you can disconnect at any time from your dashboard. Calendar tokens are encrypted and stored securely.

How We Use Your Information

  • Calendar integration: Check your availability and create calendar events when authorized

  • Meeting participants: When you create a poll, participant names and availability are visible to others in that poll
  • Service providers: We use trusted third-party services (Replit for hosting, PostgreSQL for database, Google and Microsoft for calendar integration)
  • Legal requirements: When required by law or to protect our rights

Data Security

We implement industry-standard security measures:

  • Password protection: All passwords are hashed using bcrypt encryption
  • Secure connections: All data transmission uses HTTPS encryption
  • Session security: Secure session cookies with automatic expiration
  • Token encryption: OAuth tokens for calendar access are encrypted at rest
  • Database security: PostgreSQL database with access controls and regular backups

Your Rights

You have the right to:

  • Access: View all your personal data we store
  • Update: Modify your account information at any time
  • Delete: Request deletion of your account and all associated data
  • Disconnect: Revoke calendar access permissions at any time
  • Export: Request a copy of your data

Guest Users

If you use MyAvailability without creating an account (as a guest), we only collect the information necessary to facilitate the specific meeting poll you create or participate in. This data is not associated with a user account and cannot be accessed or managed after the session ends.

Cookies and Tracking

We use session cookies to maintain your login state and provide a seamless experience. These cookies are essential for the service to function and expire after 7 days or when you log out. We do not use tracking cookies or third-party advertising cookies.

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will permanently delete your personal information within 30 days, except where we are required to retain it for legal purposes.
